Frequently asked questions
- What is the difference between a PDF form and a web form?
- A PDF form is a downloadable document. You design it in FormGenius, export it as a PDF, and share the file. People fill it in using a PDF reader (Adobe Acrobat, Preview, a browser's built-in viewer) and return the completed file to you. A web form lives at a URL. People fill it in and submit in their browser, and the responses are stored in FormGenius for you to view, export, or analyse. You can create both from the same FormGenius design — export the PDF and publish the web form from the same editor.
- Do I need a paid plan to remove the watermark?
- Yes. The FormGenius watermark appears on all PDFs exported on the free tier. Any paid plan (Starter, Growth, or Business) removes the watermark.
- Is the free tier really free? Do I need a card?
- Yes, genuinely free. No card required, no trial period, no expiry. The free tier lets you create unlimited forms, run the Accessibility Wizard, and export PDFs (with a watermark) — all without an account. What the free tier does not include: cloud save, web forms, or AI features. Everything runs locally in your browser.
- What happens to my forms and submissions if I cancel?
- When you cancel, your subscription stays active until the end of your current billing period. After that, your account reverts to the free tier and a short grace period begins. During this time your projects and submissions remain fully accessible. Once the grace period ends, your account enters a limited state: you can still see your projects and delete them, and submission stats remain visible, but full editing and data export are paused until you re-subscribe.
- What does WCAG 2.2 AA actually mean?
- WCAG stands for Web Content Accessibility Guidelines — the international standard for digital accessibility, published by the W3C. Level AA is the standard required by most UK legislation, including the Public Sector Bodies Accessibility Regulations and the Equality Act 2010 reasonable adjustment duty. It covers things like colour contrast, keyboard navigation, screen reader compatibility, and clear labels. FormGenius helps you meet AA by checking your forms automatically and structuring exported PDFs according to the PDF/UA standard.
- Can I embed a FormGenius form on my own website?
- Yes. Any published form can be embedded using an <iframe>. The embed code is in the Publish panel. The embed script automatically resizes the iframe to fit the form content. Available on Starter, Growth, and Business plans.
- What does "paused for editing" mean?
- When you pause a published form, submissions are temporarily suspended — the form URL still works but shows a message telling visitors it is temporarily unavailable. The editor unlocks so you can make changes. When you're done, open the Publish panel and click Resume to make the form live again.
- Can I import data from my old system?
- If your existing forms are fillable PDFs (with AcroForm fields), you can import them as submissions using the PDF import feature. Growth accounts can import one at a time; Business accounts can import in batches. Scanned PDFs are not currently supported.
- Is my submission data secure?
- Yes. Submissions are encrypted with AES-256-GCM encryption. Each form has its own encryption key. FormGenius staff cannot read your submissions. Data is stored on AWS EU-West-2 (London) — it does not leave the UK. See the privacy policy for full details.
- Can I use FormGenius for the NHS, a council, or a regulated sector?
- Yes. FormGenius is designed with public sector and regulated sector users in mind. FormGenius is registered with the ICO (registration ZC092818) and has a Data Processing Agreement template available for organisations that need one — contact data@formgenius.co.uk. For procurement purposes, FormGenius operates under UK GDPR, stores data in the UK, and can provide an accessibility statement and WCAG 2.2 AA conformance declaration.
- What AI model does FormGenius use?
- FormGenius uses Anthropic's Claude Haiku 4.5 model for both FormGenius Analysis and Content Clarity. Data sent to the AI for analysis is processed under a Data Processing Agreement with Anthropic (incorporating Standard Contractual Clauses). Submission content sent for AI analysis is not retained by Anthropic beyond the immediate API call. Full details are in the privacy policy.
